Close the register at end of day
basicReconcile the day in Caja — clear any unpaid appointments, take final payments, print or email receipts, and review your takings and bonus progress before you leave.
Closing the register is the short routine you run at the end of a shift so you leave with nothing outstanding: every served client paid, every receipt handed over, and a clear view of what you took in. In Apolaris AI this all happens inside Caja, the focused employee workspace, so a front-desk or provider staffer never has to open the full CRM to wrap up the day. Because each sale flows through one place, your takings, tips, customer history, loyalty points, and payroll update on their own — no end-of-day re-keying into a spreadsheet.
If you are new to Caja itself, read Employee workspace (Caja) first. To turn a single arrival into a paid, receipted visit, see From walk-in to paid.
Who can do this
| Action in Caja | What it needs |
|---|---|
| Open Caja at all | can_use_pos, with the Employee Portal module enabled for the organization |
| See today's appointments and the "to charge" count | Any portal user (your own day; site-wide if is_manager or can_view_site_schedule) |
| Take a payment / check out an appointment | can_manage_sales |
| Apply a discount code at checkout | can_manage_sales, plus the Discounts module enabled |
| Email a receipt to the client | can_manage_sales |
| View your own takings, tips and bonus progress | can_view_own_earnings (on by default) |
A domain manager (is_manager) always passes every check. A non-manager only gets each ability if they hold that specific privilege — Caja never grants access on its own, it just surfaces the daily tasks a staffer is already allowed to do.
A staffer who can run the day's appointments but lacks can_manage_sales cannot take the final payments. Make sure at least one person on shift with can_manage_sales is available to close out, or have them check out the remaining clients.
End-of-day flow
1. Find what is still unpaid
Open Hoy (Today). At the top you get a quick read on the day:
- The Citas hoy (Appointments today) and Por cobrar (To charge) metrics.
- A "citas sin venta" ("appointments without a sale") banner whenever there are completed or no-show appointments today that have no sale attached yet. This banner only appears if you can take payments (
can_manage_sales), and its prompt is plainly "Cóbralas antes de cerrar" — charge them before closing.
Tap the banner (or open Mi agenda, the agenda) to jump to the day and see each appointment's status.
The "to charge" count is your end-of-day checklist. When it reaches zero, every served client has been paid and nothing will surface tomorrow as an unpaid visit.
2. Take the final payments
For each remaining appointment, open it in the agenda and tap Cobrar (Charge) to open the checkout sheet. From there:
- Confirm the amount — it defaults to the booked service price. Add any extra services or retail products as line items if the visit was more than the booked service.
- Enter a tip if the client left one. The tip is recorded separately from the service total, so your takings and payroll stay accurate.
- Choose the payment method (see Reconciling tenders and tips below), then tap Cobrar to charge.
How the sale is recorded depends on the method:
| Method chosen | What happens at checkout |
|---|---|
| Cash or transfer | The sale and receipt are recorded immediately. |
| Card / OXXO / SPEI, when an online payment gateway (Mercado Pago) is set up for the organization | Caja opens a hosted checkout link ("Abrir cobro"); the sale is created only once the gateway confirms the payment. Caja polls and shows "Pago confirmado" when it lands. |
| Any method, when no gateway is configured | The sale and receipt are recorded immediately as a manual entry. |
A booking that already has a sale cannot be checked out again, and it cannot be cancelled or marked no-show from Caja — that would orphan the revenue. If you charged the wrong amount, a manager corrects the sale in the full CRM rather than re-charging.
3. Print or send each receipt
After a successful charge, the confirmation sheet offers Imprimir recibo (Print receipt) and an option to email the receipt to the client. Emailing needs a valid address — Caja uses the client's email if one is on file, or you can type one. Sending requires can_manage_sales and a working email setup for the organization.
The receipt always shows the net total as the headline figure (services and retail, minus any discount). The tip is listed separately, and the payment line shows each method used.
4. Review the day's takings
Once the "to charge" count is zero, you have closed out. To see what you personally took in for the pay period, open Mis ganancias (My earnings) from the Más (More) menu — see Where takings and bonus progress show.
Reconciling tenders and tips
A tender is one payment toward a sale. Most checkouts use a single tender, but a client can pay with more than one method — for example part cash, part card. In the checkout sheet, tap "Dividir el pago en varios métodos" (Split the payment across methods) and add a tender for each one.
The available tender methods are:
| Method | Use for |
|---|---|
| Cash | Notes and coins |
| Card | Credit / debit card |
| Check | Paper check |
| Bank Transfer | Direct transfer |
| Other | Anything else |
Rules to reconcile cleanly:
- The tenders must add up to the sale total — services and retail, minus any discount, plus the tip. Caja blocks the charge if they do not balance.
- When two or more tenders are used, the printed and emailed receipt labels the payment as Split; a single tender shows that method by name.
- A split sale always records directly (immediately) — you cannot split a single hosted-gateway charge across methods.
If a stale or non-JavaScript screen submits no tenders at all, the sale still records one full-amount payment so nothing is left without a payment record. Whenever you actually split, enter the tenders explicitly so the cash-vs-card breakdown is correct.
Tips are tracked apart from the service amount everywhere — at checkout, on the receipt, and in your earnings. So your service takings and the tip pool stay separate and easy to reconcile at the end of the night.
Where takings and bonus progress show
Open Mis ganancias (My earnings) from the Más menu. This screen is strictly your own — it shows only your figures for the current pay period, never another employee's data and never whole-business totals. It needs can_view_own_earnings (on by default).
You see:
| Figure | Meaning |
|---|---|
| Estimado a recibir (Estimated take-home) | Base salary + bonus + tips for the period, before taxes |
| Ventas (Sales) | Your sales for the period |
| Propinas (Tips) | Your tips for the period |
| Bono (Bonus) | The auto-calculated bonus so far |
| Salario base (Base salary) | Your base for the period |
If your organization uses tiered sales bonuses, a progress bar shows how close you are to the next tier and how much more in sales you need to reach it ("Faltan … en ventas para alcanzar …%").
The earnings screen is an estimate of the period in progress, not your final pay slip. The figure is confirmed by your manager through payroll. Caja never exposes the manager payroll path to staff.
What a manager sees instead
Caja has no manager "register report" — the whole-business and per-employee payroll picture lives in the full CRM, not in the employee workspace. A manager who wants the business-wide end-of-day numbers (everyone's sales, tips, payment-method mix) uses the CRM's reporting and analytics and the payroll tools, not Caja. A manager can still open Caja and check out appointments like any staffer, and can see the site-wide agenda if they have is_manager or can_view_site_schedule.
Cross-data impacts
Closing out is not just bookkeeping — each sale you record ripples through your data:
- Analytics count the net sale. Applying a discount code lowers the net total, so it also lowers the revenue your reports show for that sale. (Discounts need the Discounts module enabled.)
- Tips are separate from revenue. Because tips are stored apart from the service amount, they never inflate your sales figures or skew payroll.
- Inventory decreases for any retail products added to a sale at checkout.
- Loyalty points are credited to enrolled clients the moment a sale is marked paid; completing the appointment also adds a loyalty stamp for enrolled clients. See From walk-in to paid.
- The booking is completed and locked. Checking out marks the appointment processed and (unless it was cancelled or a no-show) Completed, and that booking can no longer be charged, cancelled, or marked no-show from Caja.
Do not leave appointments uncharged overnight to "fix tomorrow." A served visit with no sale stays on the "to charge" list and is invisible to your takings until it is closed. Charge each client before you leave.
Quick checklist
- Open Hoy and read the Por cobrar count.
- Clear the "citas sin venta" banner — check out every remaining served client.
- For each charge: confirm the amount, add the tip, pick the method (split if needed), and take payment.
- Print or email each receipt.
- Open Mis ganancias to review your takings and bonus progress.
- Confirm the "to charge" count is zero, then log out.
