Billing & usage

pro

See your plan, your invoices and everything metered on your account this month — AI, voice minutes, SMS segments and phone-number rental — on one read-only page.

Billing & Usage is the one page where you can see what your organization is on and what it has consumed: your subscription plan, your recent invoices, and a live month-to-date statement of every metered service — AI, voice calls, SMS, speech processing and phone numbers. It exists so you are never surprised by an invoice: the same figures the page shows are the ones invoicing uses.

The page is read-only. Plans, add-ons and prices are managed by Apolaris — to change your plan or add a module, contact support.

Open it from Settings → Organization → Billing & Usage in the sidebar. Access is limited to the roles in the table below.

Your plan

The Your plan card shows your subscription: the price and billing interval, the plan's name, its status (Active, Trialing, Past due), and the Renews date of the current period. If no subscription is on file yet, the card says so and asks you to contact us to choose a plan.

Voice & SMS this month

The page leads with a Voice & SMS this month card — most relevant when your organization uses the phone platform, but always honest about the month so far:

  • Minutes used vs. included. Your call minutes so far this month, with a progress bar against the minutes included in your plan. Go past the allowance and the card tells you plainly: "Above your included minutes — extra usage is billed per second at the plan rate." Plans without an included allowance simply show that call time is billed per second.
  • SMS segments sent. Text messages are counted in segments, which is how the carrier charges them: a short text fits in one segment (up to 160 characters), while a longer text is split into several segments of 153 characters each — so one long message can count as two or three. Emoji and special characters make each segment hold fewer characters, so those messages split sooner.
  • Monthly safety ceiling (min). If a ceiling is set for your organization, it is a hard monthly cap on AI call minutes: once it is reached, no further AI calls are placed until the next month. It exists purely as spend protection — a runaway month stops itself instead of running up your bill.

The account statement

All services this month is your month-to-date statement: one row per metered service, priced exactly as it will appear on your invoice. You'll see rows such as Voice calls, SMS, Speech synthesis, Speech recognition, AI tokens, AI search and Phone number, each with its quantity (minutes, segments, tokens…) and the amount charged so far.

Below it, two companion cards break the month down further:

  • AI & usage this month — the amount charged so far, total AI tokens used, and a per-area breakdown so you can see which parts of the product (assistant, contact center, and so on) consumed them. Organizations running on their own dedicated AI keys see that flagged here, with usage shown for transparency and billed pass-through.
  • Voice usage this month — call minutes, speech-synthesis and speech-recognition volume, and the voice cost so far. Synthesized speech that was served from cache is listed as free.

There is also a Your CRM usage snapshot — locations, team members, customers and this month's bookings — so you can relate your plan to the size of your operation.

Invoices

The Invoices card lists your recent invoices with their number, billing period, status (Paid / Open), total and amount due, and a PDF download per issued invoice.

An invoice is built from the same things this page shows:

  • your subscription line,
  • one line per add-on module that carries its own subscription (see Modules),
  • your metered usage, grouped by service,
  • and a monthly rental line for each active phone number your organization holds. A number that is active when the invoice is issued is billed for the full month.

About currencies

Every amount on the page is shown next to its currency. Some metered services are priced in the currency of the underlying rates (often USD), so the usage cards can show more than one currency at once; when an invoice is issued, those lines are converted into your invoice currency. Your plan itself is billed in the currency agreed for your subscription — see Organization settings for where your organization's own display currency is set.

Tips

Glance at Voice & SMS this month around mid-month. If the progress bar is already near the allowance, you can decide early whether to slow outbound calling or ask us about a plan with more included minutes.

Question about a specific line? Note the service name and the month shown on the statement and contact support — the page and your invoice are built from the same records, so the line can be traced exactly.
