Organization settings

pro

Brand, currency, country, theme, language, number format, timezone, and company contact details for your organization.

Organization settings are where you define your business identity in Apolaris AI: your name, logo, currency, country, look-and-feel, language, number format, timezone, and the company contact details used to fill generated HR documents. Get these right once and every screen, report, email, and document across your sites is automatically localized and on-brand, so you never re-enter the same details into separate tools or hand-edit spreadsheets again.

Receipt and invoice fiscal identity (legal business name, tax ID/RFC, fiscal regime, fiscal address, place of issue) is not set here — it lives on each site. See Fiscal details are per site below.

Who can edit these settings

Editing organization settings is manager-only. You must be a domain manager (is_manager) to open and save this form. Non-managers — including privilege admins who can otherwise manage users (can_manage_privileges) — are redirected away; the form simply isn't available to them.

This is stricter than most pages in the product, because organization-wide settings reshape every module. See Users & privileges for how manager status and other privileges are assigned.

Edit your organization

  1. Open Settings (or Administration) from the sidebar and choose Organization.
  2. Update the fields described below.
  3. Click Save. Changes apply across the platform immediately.

Brand

  • Name — your business name, shown in the app, on receipts, and in customer-facing messages.
  • Logo — upload your logo (used on receipts and branded pages). Use a clear, square or wide image on a transparent or white background.

Currency & country

  • Currency — sets the money symbol and formatting used in sales, payroll, expenses, and reports. Supported currencies include MXN, USD, EUR, GBP, CAD, BRL, ARS, COP, CLP, PEN, JPY, and CNY.
  • Country — drives payroll legal rules and regional defaults, so payroll calculations and AI template suggestions match local requirements. See Payroll.

Changing currency or country affects how money and payroll are calculated everywhere. Currency formatting and payroll legal frameworks both key off these values, so set them correctly at setup and avoid changing them once you have live sales or payroll data.

Appearance & localization

  • Theme — choose Light, Dark, or Blue as the default look for your team. Individuals can still adjust their own view in their profile.
  • Default language — the interface language for users who have not chosen their own, the language new (not-yet-signed-in) users see, and the language used for system messages and notifications when a recipient has no personal preference. It is also the language your public website is rendered in.
  • Number format — choose point decimal (1,234.56, North America) or comma decimal (1.234,56, Europe) to match local convention. This affects how numbers are both shown and accepted on money forms.
  • Timezone — controls appointment times, reports, and timestamps so everything reflects your local clock.

Theme, language, and number format here are defaults for the organization. Each user can override their personal theme, language, and number format in Your profile; their personal preference wins for their own view.

Which languages are available. The language picker only ever offers languages that are fully translated and live. Apolaris is expanding well beyond its original set, and each new language appears in the picker the moment its translation pass is finished and switched on — never half-translated. If a language you need isn't listed yet, ask support where it is in the queue.

Company contact details

These fields are used to fill generated HR documents (contracts, letters, and certificates). They do not appear on customer receipts.

Field Used for
Company address Address printed on generated HR documents
Company phone Contact phone on generated HR documents
Company email Contact email on generated HR documents
Tax ID / RFC Organization tax identifier for HR documents (not receipts)
Website Company website (a bare domain like www.example.com is automatically saved with https://)

The Tax ID / RFC here is a single organization-level value used for HR documents. The tax identity printed on receipts and invoices is a separate, per-site setting — see below.

Fiscal details are per site

Receipt and invoice fiscal identity is configured on each site (location), not in this organization form. This lets a multi-site organization issue receipts under the correct legal entity and fiscal address for each location.

On Add site / Edit site, each site carries its own:

  • Legal business name
  • Tax ID (RFC / VAT / tax identifier for receipts)
  • Fiscal regime
  • Fiscal address
  • Place of issue (postal code or place of issue)

If your sites all bill under one legal entity, enter the same fiscal details on each site. If different sites are different legal entities, set each one independently. See Organizations & sites for how the org-to-site relationship works.

Organization-wide security policy

The organization's two-factor authentication (2FA) policy is an org-wide security setting, but it lives on the Configuration page rather than this form. You can require 2FA for no one, managers & admins only, or all users; in-scope users are forced to enrol a second factor at sign-in.

See Security & 2FA configuration to set the policy and for self-service 2FA enrollment.

Tips

Set brand, currency, country, and timezone first during setup — they shape every other module. Walk through Onboarding & industry presets to seed the rest quickly.

  • Running more than one location? These settings are organization-wide; review how Organizations & sites inherit them, and see Switching site & organization.
  • Per-site fiscal identity, security policy, and user permissions live elsewhere — see the cross-links above.
